Notification Letters

As noted in the USAM, routine notification letters are sent to parties in police misconduct matters only. These form letters are computer-generated and are sent to the addresses provided by the FBI on the "Notification List" in the FBI report. Standard letters are available only for persons in the categories of Victim, Subject, Complainant or Head of Agency (sample letters follow). After the Criminal Section closes its file, the letters are automatically sent on the first day of the following month. Because identical letters are sent in every case, copies of letters are not generated for the Criminal Section (or the FBI or the USAO), but a list of which letters are sent and to whom is retained in the Criminal Section. If a USAO wishes for some reason not to have letters sent out in a specific matter or to have special letters sent, it is essential to contact the line attorney assigned or the deputy chief responsible for that district as soon as possible.
